Position Summary This role will provide support in planning, management and execution of the convention strategy across Neurology and Oncology therapeutic areas for both pipeline and inline products. Responsibilities include all aspects associated with organizing, planning and post event wrap-up. Primary Duties and Responsibilities: Housing and Registration Lead Manage housing block for each congress in partnership with Congress Planners/agenciesProvide registration, attendance and all reporting as required to core teams/Congress PlannersManage all housing applications for all congresses with recommendations for each block based on previous year activity and +/- expectationsOversee housing attrition deadlinesMonitor deposit schedule for all housing and meeting space paymentsInvoice accuracyManage and achieve project profitabilityComply with company & client invoicing processesReconciliation of housing deposits and pre-pays post event Meetings Support (Non-super congress status) Liaise with core team/Congress Planners concerning hotel meeting requests by brand or other team requirementsPrepare core team meeting agendas, write and distribute core team meeting minutes and update core team PPT slides on the One DriveLiaise with requestor for AV, F&B requirements as well as room set up within budget parametersLiaise with Congress Organizers for submission of these space requests for review and approvalNegotiate & secure meeting space with congress hotelProvide support to Agency as required for Super Congress hotel meeting spaceLiaise with core team/Congress Planners' requirements for exhibit hall or convention hall meeting spaceLiaise with Congress Organizers for applications of exhibit hall and/or convention hall meeting space General Attend stakeholder planning meetings - face to face, WebEx and/or conference calls, where requiredIdentify & manage preparation of supportive meeting planning materials for planning meetingsAttendance & contribution at department meetings and status callsEffective interaction with other departments - e.g. IT, Finance, HR, TravelCoordinate pre-con compliance training WebEx in collaboration with Regulatory, reporting on attendanceAssist in preparing documents for CRC/PMRC requirements; manage changes throughout processEnsure all business-critical deadlines are met for each congressIdentify and manage literature through order processWork with leads for identifying staffingMaintain and update congress calendars, congress schedulesSchedule meetings & manage work streams for sub team objectivesProvide on-site program assistance (where needed); oversee specific areas/details of program (i.e. attend pre-con, advance all functions, verify room set-ups, review banquet checks/master bill)Familiar with budgeting, and forecastingSpecial projects (play book assembly, event tracker, etc.) as required Position Requirements Strong skills in Microsoft Suite, with focus on PowerPoint, Word, ExcelStrong Cvent skills, preferably Cvent CertifiedDiplomatic business acumenStrong oral and written communications skillsAbility to lead; motivate/influence othersAttention to detailFlexible / adaptableAbility to perform under tight timelines, fast-paced, changing environmentsSolid understanding of pharma housing and registration requirements & processesNegotiation skills with vendors such as AV, meeting space, F&B contractsUnderstanding of industry compliance parameters, including Pharma GuidelinesComply with all company and Client policies and procedures, including those relating to Health & SafetyMaintain/develop good long-term relationships with hotels, venues and suppliersDevelop and apply a good understanding of clients' businesses and productsUnderstand and apply the company's Vision and Values at all timesMust be able to work in Woodcliff Lake office location, re-location is not availableSense of humor Experience: 5+ years' experience (mid-level) in pharma sectorGlobal experienceGeneral Life Sciences meetings knowledge, with expertise on congresses & ancillary activitiesMid-level Cvent knowledge/certification preferredCMP / CMM / HMCC preferred25% travel domestic & international Please note that only LOCAL candidates will be considered.
